Supporting managers more effectively with Hailey
Klättercentret has grown to become Sweden's largest and most prominent indoor climbing company. From just a few locations, they have now expanded into a nationwide business with over 400 employees spread across Stockholm, Gothenburg, Uppsala, Malmö, Helsingborg, and Västerås. With such rapid growth, the HR team realised that the manual processes and various systems they were using needed to be digitalised and streamlined.
With five companies and a rapidly expanding team, there was an increased need for efficient and secure management of employee data. The HR team, which previously managed several separate systems, faced an administrative challenge.
“We have over 400 employees, many of whom work part-time and pick up extra shifts. Managing the data and meeting security requirements became increasingly complex, especially considering GDPR. Complying with GDPR regulations was hard to maintain with our previous tools,” explains Marcus Calemark, HR Generalist at Klättercentret.
From manual handling to digital control
Hailey has helped them efficiently digitise HR and employee data, from employment contracts and fixed-term agreements to probation periods and follow-ups.
One of the most appreciated features is the automated reminders and workflows that ensure important deadlines are never missed:
“We get reminders when probation periods and fixed-term contracts are about to expire. It’s a huge relief knowing nothing gets forgotten, and that we’re always in line with regulations, especially as we have so many part-time employees” says Marcus.
A seamless connection between HR and managers
With Hailey, Klättercentret has also created new opportunities for managers to manage and monitor their teams directly in the system.
“Previously, HR held all the information, and we shared relevant parts with the managers manually. Now they have direct access to the information they need for their teams, right in the platform. We don’t need to email back and forth, and we still have control over what information managers can access,” explains Marcus.
Klättercentret has also found great value in Hailey’s recruitment module. Previously, they handled recruitment using Google Forms and two separate systems, but now everything is managed within Hailey:
“Moving an employee directly from recruitment to the onboarding process is much smoother now that it all happens in the same platform. Even the managers find it easy, and I can quickly support them in setting up tailored recruitment processes with different steps.”
Another area where Hailey has made a difference is in salary reviews. Previously, there were many shared documents, but with Hailey, managers find that the process has become both simpler and more transparent.
“We’ve received very positive feedback, even from managers who aren’t very tech-savvy. They find it very easy to use and visually appealing,” says Marcus.
Confidence in future directives
Looking ahead, Klättercentret sees many benefits in using Hailey’s analytics and reporting features to track operations and ensure compliance with new regulations, such as the Pay Transparency Directive.
“With Hailey, we’ll be able to generate statistics and reports to support us in following the new directive and ensuring we meet all the requirements,” Marcus concludes.
