Within this policy we would like to inform you about what purpose and to what extent we collect your personal information while using our website and other digital channels that Hailey HR AB are in control of.

Data controller

Hailey HR AB, hereinafter referred to as “Hailey”, is personally responsible according to GDPR for processing of personal information.

Hailey cares about you and your personal integrity while visiting the website haileyhr.com and the social media platforms that Hailey uses (see a complete list under section “Links and external websites”). We are responsible for ensuring that the personal information collected by us is only used for its intended purpose. We will protect your personal information against unauthorized access and use.

If you are a candidate applying for work at Hailey, some information you provide for us, such as who you are, what your qualifications are and how to contact you may be kept up too two years after the recruiting process has finished. This is for us to keep within our legal obligations too combating discrimination and defend ourselves in cases of reports of perceived discrimination.

Below is a summary of our obligations and your rights as a personal information provider.

Processing of personal information

For us to be able to answer certain questions or fulfill a request from you, certain personal information must be provided such as name, address, company, email, or phone number. The information you provide us with is used to process your requests and/or to fulfill the service or information you have requested.

We also process data that have been registered automatically during your visit as well as information collected from our website that requires an interaction (see “cookies and logs”).

Personal information may be transferred to companies within Haileys group. Other companies within the Group may individually be responsible in accordance with the terms and conditions applicable to each service or function and according to national law applicable to such company.

Personal information might be provided to subcontractors which Hailey employs to perform services, i.e. for the disclosure of financial information, invitations, recruitment and the Annual General Meeting. Each designated subcontractor is a personal information controller for Hailey.

How long will the Personal Information be stored?

We store your personal information only for as long as it is necessary to provide you with our services or if we decide there is another legitimate reason for longer storage, such as fulfillment of legal obligations or too defend ourselves against legal action. The right to store your personal information is based on fulfillment of the agreement and the right of legitimate interest. Legitimate interest is based on that we will only communicate with you in your professional role and keep you informed based on one the purposes below

Purposes:

  • Keep you informed by email as we add new blog posts or news to our website.
  • Send the information you request from our Resources/Insights pages.
  • Inform you about activities and events that might interest you.
  • Contact you with the help you have requested.
  • Contact you about recruitment if you have applied to work with us.
  • Applications to annual general meetings are used for voting lists and to administer the annual general meeting.

We also save personal information for the purpose of marketing analysis and automatic profiling based on user behavior, where your profile might be used for marketing purposes.

Marketing

By accepting this policy, you also agree that Hailey uses your personal information to contact you for marketing and marketing analytic purposes. The purpose for this is to enhance the experience and optimize the quality of our services. If you for any reason wish not to receive any marketing, please contact us with the subject that you do not wish to be contacted with any promotional purposes by sending an email to hello@haileyhr.com or use links that we provide in email communication with you for controlling the personal information that we store.

Your rights as a personal information provider

We only store the information that we need according to the purposes described above. As a personal information provider, you always have the right to:

  • Change or update the information we store.
  • Have your information deleted and forgotten.
  • Have your information stored but no longer linked to you as a person.

Recruitment service

In this section, we explain how Hailey processes your personal data when you use a service provided by Hailey, i.e. our ATS and Recruitment Service.  

This privacy policy also describes what rights you have and how you can exercise those rights.  

Hailey processes personal data of Users both as a data processor and as a data controller.  

If the company you represent registers you for and allows you to use a service, the company is the data controller for the processing of personal data within that service. Hailey acts as its data processor. Please contact your employer to find out how the company you represent handles your personal data when you use a Service or to exercise your rights.  

If you use our service as a candidate Hailey will act as the data controller.

- Contact and identification information - such as name, title, gender, company email, company number.  

Where do we get your personal information from?  

The information we process about you comes from you. You may give us information about yourself in a number of ways, for example when you use the Service, contact us for a demo of the Service or contact our customer support. You can always choose not to provide us with your information, but then we may not be able to assist you in certain areas, such as providing a demo, inviting you to an event or answering your support question.  

Some information might be received from the company you represent, for example to enable you to use the service.  

  

How do we use your personal data, on what legal basis and for how long?  

Purpose  

To conclude and manage the contract: for as long as the company you represent has an agreement with Hailey.  

While you are an active candidate for a roll you have applied to.  

Legal basis  

A balancing of interests based on our legitimate interest in concluding, documenting and administering the contract with the company you represent.  

Safeguards

Hailey wants you to feel safe when providing us with your personal information, therefore we take all reasonable precautions to make sure your personal information is safe. Among other things, SSL security is utilized. Your personal information will never be sold or transferred to other parties for other purposes than specified in this policy.

Processing of personal information is done according to the relevant European and Swedish legislation.

The systems we use to store your data are fundamentally adapted to comply with privacy laws that exist in Sweden and the rest of the EU as described here. Hailey only cooperates with partners that process personal information within EU/EES.
