Our Tips for a Successful Onboarding

Hailey HR’s Internal Process – Tips and Tricks from Ida Jansheden & Frida Wahlberg

A well-crafted onboarding process is crucial for maximizing the success of a recruitment – both for the new hire and the organization. Join us as we share our best tips for welcoming new talents and making them feel at home in their new roles!

A warm welcome from the team

Our onboarding starts with celebrating every new hire internally. As soon as the contract is signed, the news spreads throughout Hailey’s corridors. We introduce the new team member to everyone and encourage the team to connect with them on LinkedIn. At Hailey, every new hire should feel truly welcomed and wanted!

Preparations in the preboarding portal

As the contract is signed, new team members are also invited to our preboarding portal. It’s customized so that every new hire gets all the information they need about their role, the team, and the office. The portal is a powerful tool that ensures everyone feels prepared before their first day even arrives.

Onboarding days with colleagues

The first days on the job are packed with energy and connection. We always try to coordinate new hires so that multiple people start on the same day. This allows new employees to gather, get to know Hailey, and bond with one another. We’ve found that this reduces pressure, as you can share the experience of starting something new with others in the same boat. Additionally, every department head gets the chance to introduce their area of work, and the product is presented in detail, giving new hires insights into the entire organization.

Department-specific onboarding

After the shared “new to the job” days, the journey continues within each respective team. Every department head is responsible for creating a tailored onboarding schedule for their department. Tasks for onboarding can easily be added to the system, which automates the process by sending assignments to all involved parties. From this stage, onboarding focuses on “learning by doing,” and we love seeing how new hires grow and learn alongside their colleagues.

New employees are not forgotten

The real trick lies in not viewing onboarding as a process with a clear beginning and end. We make sure to have regular check-ins with all new hires. These help ensure that every employee feels secure, valued, and part of our ever-growing team. The conversations happen more frequently at the start of employment, but they never truly stop.

Our onboarding process is more than just an introduction; it’s the start of a journey where the goal is for every new hire to become an integral part of Hailey and quickly feel like they’re contributing to our shared goals.
